What information BizPilot may process
BizPilot is designed to help you manage the finances of your business, such as invoices, expenses, receipts, mileage and income. Depending on how you use the app, it may process:
- business details and customer details you enter, such as names, contact information and addresses;
- invoice information, including line items, amounts, tax and payment status;
- expense and income records, including amounts, categories and dates;
- photographs of receipts you capture or import;
- text extracted from receipts through OCR (optical character recognition), such as merchant, date, amount and tax;
- mileage and journey information you log, including distances and purposes;
- vehicle details you add, such as registration, make, model and fuel type;
- your preferences and app settings.
Business records can contain personal information, such as the names and contact details of your customers, or information about your income and expenses. Please treat such information with care, as described below.

Why the information is processed
BizPilot processes the information above to provide the features you use, including creating invoices, tracking expenses and income, scanning receipts, logging mileage, calculating an estimated tax reserve and generating reports. You remain in control of what is recorded and when.

Local processing
Much of BizPilot's processing can happen on your device and information can be stored locally on your device. Your business records, receipt photographs, extracted text and journey logs can be processed on-device and stored locally, and are not sent to us simply because you use the app.

External processing
Some features may use an external OCR or AI provider to extract text from receipts. If you enable such a feature and a provider is configured, the relevant receipt image may be transmitted to that configured provider so it can process it on our behalf.
We do not upload all receipts to external providers. Transmission happens only when a feature that relies on an external provider is enabled, and only for the content needed to provide that feature. When such features are used, the external provider's own terms and privacy practices may also apply. Before using a feature that transmits receipt content externally, you should be aware that the content is being sent to that provider.

Care with sensitive business information
Please exercise care when recording sensitive business information. Before photographing, scanning, importing or transmitting receipts or documents that contain sensitive personal or financial information, consider whether you need to, and check which features are enabled. If a feature uses an external OCR or AI provider, sensitive content may be sent to that provider. You are responsible for ensuring you have permission to process any information you add.

Permissions used by the app
Depending on the platform and the features you use, BizPilot may request permissions such as:
- camera access, so you can photograph receipts;
- photo or file access, so you can import receipt images;
- permission to show notifications, if you enable them.
You can control these permissions through your device settings.

Third-party services
BizPilot is distributed through the Apple App Store and Google Play Store, whose terms and privacy practices apply to your purchase and account with them. If you enable a feature that uses an external OCR or AI provider, that provider may process receipt content you choose to send, as described above. We do not sell your personal information.

Retention
Information stored locally on your device remains there until you delete it or delete the app. Any information processed by a third-party service you have configured is retained according to that service's terms and our processing instructions, and only for as long as needed to provide the relevant feature.

Security
We take reasonable measures to help protect information processed through BizPilot from misuse, loss and unauthorised access. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. You can help protect your business records by keeping your device secure and using its built-in security features.

Your rights
Depending on where you live, you may have rights in relation to personal information, including the right to access, correct or delete information, to object to or restrict certain processing, and to withdraw consent where consent is the basis for processing. Deletion
You can delete records and information stored by BizPilot at any time through the app, by clearing the app's data on your device, or by deleting the app. You may also ask us to delete personal information we hold about you by contacting hello@ojpapps.com.

Children's privacy
BizPilot is not directed at children, and we do not knowingly collect personal information from children. If you believe a child has provided personal information through BizPilot, contact us at hello@ojpapps.com and we will take steps to address it.

International processing
If you use BizPilot outside the United Kingdom, and you enable a feature that uses an external OCR or AI provider, receipt content you send may be transmitted to, and processed in, countries other than your own, including the United States. We take reasonable steps to protect information when it is processed by third-party services.

Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page indicates when it was last changed. Continued use of BizPilot after changes are made means you accept the updated policy, where permitted by law.
