OJP DocPilot Terms of Use

The terms that apply when you use the OJP DocPilot mobile app.

These Terms of Use ("Terms") govern your use of the OJP DocPilot mobile application ("DocPilot"). DocPilot is provided by OJP Applications Ltd, a company registered in England (company number 12530029), whose website is https://ojpapps.com/. By downloading, installing or using DocPilot, you agree to these Terms. If you do not agree, please do not use DocPilot.

  1. Acceptance of these Terms

    By downloading, installing, accessing or using DocPilot, you confirm that you have read, understood and agree to be bound by these Terms and our Privacy Policy. If you use DocPilot on behalf of an employer or organisation, you confirm that you have authority to accept these Terms on its behalf.

  2. What DocPilot does

    DocPilot helps you photograph or scan documents, import PDFs, extract text through OCR, organise document information, generate summaries and prepare form information. It does not automatically submit legal or other forms on your behalf; you remain responsible for any forms you choose to submit.

  3. OCR and AI-generated information may contain errors

    OCR and AI-assisted processing are not always accurate. Text extracted from documents and AI-generated summaries may contain errors, omissions or inaccuracies. You should always verify extracted data and generated summaries against the original documents before relying on them.

  4. Verify extracted data and summaries

    You are responsible for verifying that extracted text, metadata and AI-generated summaries are correct. Do not rely on DocPilot output alone for decisions that depend on the accuracy of document content, such as deadlines, amounts, reference numbers or compliance obligations.

  5. Summaries are informational

    AI-generated summaries are provided for convenience and informational purposes only. They are not a substitute for reading the full document, and they do not represent legal, financial, medical or professional advice.

  6. You are responsible for checking forms

    Where DocPilot helps you complete or prepare form information, you are responsible for checking the information before submitting any form to any person, organisation or authority. DocPilot does not submit forms on your behalf, and it is your responsibility to ensure any submission is accurate, complete and permitted.

  7. No professional advice

    DocPilot does not provide legal, financial, medical or professional advice merely by summarising or organising documents. Any summaries, extracted information or form assistance are informational tools. For decisions affecting your legal, financial or medical position, you should consult a qualified professional.

  8. Permission to process documents

    You are responsible for ensuring that you have permission to photograph, scan, import and process any documents you add to DocPilot, including any personal data of other people contained in those documents. Only import documents you are entitled to process.

  9. Eligibility

    You must be at least 13 years old, and old enough to enter into a binding agreement in your country, to use DocPilot. If you are under the age required in your country to consent to the processing of personal data, a parent or guardian should review these Terms and the Privacy Policy with you.

  10. Licence to use DocPilot

    Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable licence to download and use DocPilot on devices you own or control, for your personal (and, where applicable, internal business) document management purposes. The licence does not allow you to redistribute, resell, reverse engineer or copy DocPilot other than as permitted by law.

  11. User responsibilities

    You are responsible for the documents and information you import into DocPilot, for keeping your device secure, and for the accuracy of any form information you prepare with it. You should keep original documents as your authoritative records.

  12. Acceptable use

    You agree not to misuse DocPilot, including by attempting to access or disrupt the service, reverse engineering the app, using it for unlawful purposes, or importing documents you are not entitled to process.

  13. Subscriptions and purchases

    DocPilot may be offered on a free basis and as paid subscriptions, for example "Pro Monthly" and "Pro Annual". Prices for subscriptions are presented in the relevant app store before you purchase. Features, pricing and plans may change from time to time.

  14. Renewals and cancellation

    Subscriptions may renew automatically unless cancelled in accordance with the relevant app store rules. You can manage or cancel a subscription through your Apple or Google account, depending on where you purchased it. Unless you cancel, your subscription will continue until the end of the then-current period.

  15. Apple and Google billing relationship

    Purchases of DocPilot made through the Apple App Store are billed and managed by Apple. Purchases made through Google Play are billed and managed by Google. Their terms, policies and refund rules apply to those purchases, and payment disputes should be directed to the relevant store in the first instance.

  16. Third-party services

    If you enable a feature of DocPilot that uses an external OCR or AI provider, that provider is a third party, and your use of such features is subject to that provider's terms and privacy practices in addition to these Terms. We are not responsible for third-party services you configure or enable.

  17. Intellectual property

    DocPilot and all content, features and branding in it are owned by OJP Applications Ltd or its licensors and are protected by intellectual property laws. Your use of DocPilot does not give you any ownership in it. All other trademarks belong to their respective owners.

  18. Availability

    We aim to keep DocPilot available and up to date, but we do not guarantee that it will be uninterrupted, error-free or always available. Updates may be required, and some features may depend on your device, operating system and app store.

  19. Disclaimers

    DocPilot is provided "as is" and "as available", without warranties of any kind, whether express or implied, to the maximum extent permitted by law. We do not warrant that OCR or AI features will be accurate, that DocPilot will meet your expectations, or that the service will be uninterrupted or secure. Nothing in these Terms limits warranties that cannot be excluded by law.

  20. Limitation of liability

    To the maximum extent permitted by law, OJP Applications Ltd shall not be liable for any indirect, incidental, special or consequential damages, or for any loss of profits, data or goodwill, arising out of or in connection with your use of DocPilot, including reliance on extracted data or summaries. Nothing in these Terms limits liability that cannot be limited by law.

  21. Termination

    We may suspend or terminate your access to DocPilot if you breach these Terms. You may stop using DocPilot at any time by deleting the app. Terms that by their nature should survive termination (such as intellectual property, disclaimers and limitation of liability) will continue to apply.

  22. Changes to these Terms

    We may update these Terms from time to time. The "Last updated" date at the top of this page indicates when they were last changed. Continued use of DocPilot after changes take effect means you accept the updated Terms, where permitted by law.

  23. Governing law

    These Terms are governed by the laws of England and Wales. Nothing in these Terms affects any rights you may have under the law of your country of residence that cannot be excluded by law.
